Sales Logistics Coordinator

Our customer is a newly established company, based on solid experience in product development for decades in Japan, as well as supplying the premium specialty materials product lines in the United States for over 20 years. The company was founded in the SF Bay Area and has been in operations for just over a year, and is rapidly growing.
Overview:
You will become a member of this energetic new organization, participate in forming a highly efficient Sales Operations Team. Under the supervision of the Sales Operations Manager, the Sales Logistics Coordinator will support the company’s sales operations activities including but not limited to: Logistics of our product flow, inventory and warehouse management, providing support for the processing of incoming customer orders, as well as executing a variety of purchasing activities. The Sales Logistics Coordinator functions as a key member of the Operations Team with the primary function of supporting the company’s order/product flow.
Duties and responsibilities
Ensures solid logistics flow of our products from our vendor to our warehouse, and from our warehouse to our customers, as well as oversight of direct shipments from the manufacturing site to our customers.
Ascertains that warehouse inventory is accurately tracked and reflected in the ERP system. You will also participate in the periodic physical inventory count, as well as periodic reconciling activities.
Maintains close communication with our 3rd party warehouse and ensures smooth product flow through customer delivery.
Ensures the smooth flow of incoming overseas inventory shipments, and functions as a point of contact for our customs brokers, providing them with necessary information for customs clearances.
Prepares Importer Security Filings for incoming shipments, as well as maintains all regulatory documents to be current and compliant.
Ensures smooth and complete processing of incoming customer orders.
Assists in the development of SOPs as they pertain to the Sales Operations functions.
Enters products and customer information within the ERP system and maintains and updates information as needed to reflect changes appropriately.
Enters product specifications, as well as the relevant Company information into the client portals and maintains and updates the information periodically.
Creates and submits sales reports as requested by both the Marketing Team and the Management Team.
Functions in coordination with the Marketing Team to best satisfy customers’ needs and requests.
Works in coordination with the Customer Service Coordinator to meet customers’ requests, as well as process incoming orders.
Gains knowledge of and willingly renders assistance to other departments as needed, serving as a solid resource within the organization.
Qualifications:
A college degree is preferred, with a minimum of 2-years of work experience in logistics, warehouse management, or customer service.
A high school diploma with a minimum of 5-years of relevant work experience is required.
Excellent organization and prioritization skills.
Great attention to detail and excellent oral and written communication skills required.
Experience using MS Office.
Experience using MS Dynamics GP is a preferred.
Ability to multi-task and willingness to work as a team.
Ability to communicate in the Japanese language is a plus.

Physical requirements
Must be able to lift up to 20 lbs. occasionally.
